Club Risk & Launch Checklist

Operational checklist before organized youth activity begins.

Important: This is an operational checklist, not a substitute for advice from a New York attorney, insurance broker, accountant, league administrator or medical professional.

Organization & Contracts

☐ Confirm club legal entity / assumed-name status and authorized signatories☐ Review field/facility agreements, indemnity clauses and insurance requirements☐ Use written coach, contractor, volunteer and sponsor agreements where appropriate☐ Confirm league / sanctioning / governing-body rules before representing affiliation

Insurance

☐ Commercial general liability appropriate for soccer activities☐ Participant accident / excess medical coverage if appropriate☐ Abuse / molestation coverage and exclusions reviewed☐ Directors & officers / management liability if appropriate☐ Workers' compensation / disability coverage if legally required for workers☐ Auto / hired & non-owned auto coverage if club transportation is used☐ Cyber/privacy coverage considered for stored personal data

People & Safeguarding

☐ Background-screening process established before regular contact with minors☐ SafeSport / governing-body training completed where applicable☐ Youth Safety Policy acknowledged by coaches/staff/volunteers☐ Codes of Conduct acknowledged☐ Adult/minor communication and one-on-one interaction rules implemented☐ Clearance roster maintained with renewal dates

Player Safety

☐ Participant registration packet completed before participation☐ Emergency contacts available at activity☐ Concussion and injury protocol distributed☐ Emergency Action Plan created for each field☐ First-aid kit and AED location confirmed☐ Heat/lightning/weather policy communicated

Privacy & Records

☐ Collect only necessary information☐ Restrict access to player/minor records☐ Avoid sending detailed medical or safeguarding records through public forms☐ Establish reasonable retention and secure disposal practice☐ Maintain breach/incident response contact list

Legal Review Priority

Before charging fees or relying on liability language, obtain New York legal review. New York General Obligations Law § 5-326 can make certain agreements that exempt owners/operators of fee-based recreational facilities from liability for their own negligence void and unenforceable. The club packet therefore uses an inherent-risk acknowledgment rather than claiming a blanket release of negligence.
